Registration Fees
Participants are advised to have a copy of their confirmation email to present at the OAO 2026 Scientific Meeting registration desk upon arrival. You hereby confirm that you have properly registered your status as a member/non-member, and agree that the OAO reserves the right to audit the information provided and contact you if verification is required.

Cancellation Policy
Requests must be submitted in writing and received on or before midnight Friday, May 8, 2026, to receive a refund, less a $100.00 service and processing fee. Cancellation requests received after midnight, Friday, May 8, 2026, and no-shows are not eligible for a refund. However, substitutions are welcome. Please let us know by 9:00 AM on May 25, 2026, of the person you wish to substitute via email: info@oao.on.ca

Liability 
OAO reserves the right to amend any part of the 2026 Scientific Meeting program if necessary at any time. OAO is not liable for damages of any nature sustained by participants or accompanying persons, or loss of, or damage to their personal property as a result of the OAO 2026 Scientific Meeting or related events. In the event of industrial disruption or other unforeseen circumstances, OAO accepts no responsibility for loss of monies incurred by participants.

Photography & Filming
Photographs, audio, and video are sometimes captured during the event. By registering, attendees hereby grant OAO and its representatives permission to photograph and/or record them at events, and distribute (both now and in the future) the attendees’ image or voice in photographs, videotapes, electronic reproductions, and audiotapes of such events and activities.

Privacy Legislation
In registering for the 2026 OAO Scientific Meeting, relevant details may be included in a participant list for the benefit of exhibitors and sponsors. Normally, this information would be: name, surname, company, country, and email address. OAO may also use these details to inform participants of 2026 OAO Scientific Meeting updates or future OAO events via email.

Code of Conduct
We ask you to help us make this event an experience that is welcoming and respectful to all participants. Participants are expected to conduct themselves in a professional manner, to communicate with respect and consideration for others, to encourage collaboration and participation, to embrace diversity and inclusivity, and to refrain from conduct that is (or may be perceived to be) harmful to themselves, other participants, or OAO.

The following behaviours are expected and requested of all OAO Scientific Meeting Participants:

  • Behaving in a courteous and professional manner;
  • Treating all participants with respect, dignity, and consideration, in the spirit of valuing a diversity of views and opinions;
  • Being considerate, respectful, and collaborative in your communication and actions;
  • Discussing differences and critiquing ideas, not people, in a non-confrontational manner with due regard for the viewpoints of others;
  • Refraining from demeaning, discriminatory, or harassing behaviour and speech;
  • Reporting suspected inappropriate behavior directed at yourself or others;
  • Respecting the rules, policies, and property of OAO and its contracted Event facilities and vendors; and
  • Complying with the directions of meeting leaders/organizers and all applicable laws and regulations.
